Privacy policy

What I collect, where it is kept, who can see it, how long I keep it, and what to do if you are not happy with any of that.

Who this covers

Psyzen Psychology is a solo practice run by Shruti Gupta, a registered psychologist (AHPRA PSY0002058482), at 54 Boardwalk Boulevard, Point Cook VIC 3030.

As a health service provider I am bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and by the Health Records Act 2001 (Vic). The small business exemption in the Privacy Act does not apply to health service providers, so these obligations apply to this practice regardless of its size.

What I collect

Through this website, only what you type into the enquiry form:

  • your name
  • your email address
  • your phone number, if you choose to give it
  • the message you write

The form asks you not to include detailed health information, because email is not a secure channel. If you do include it, it is treated as health information and protected accordingly.

If you become a client, I collect the information needed to provide psychological care. That is handled under my clinical privacy consent, which you receive at your first appointment, not under this website policy.

What this website does not do

This site runs no analytics, no advertising or social media pixels, no cookies, and no third-party embedded content. Fonts and video are served from this website rather than from Google or a CDN. Nothing about your visit, including which pages you read, is sent to any other company.

The web host keeps standard server access logs, which include IP addresses, for security and diagnostics. Those logs are held by the hosting provider under their own retention schedule and are not used by this practice for any other purpose.

Where enquiries go

When you submit the form it is processed by a script on this website's own server and sent to me by email. It is not passed through any third-party form service.

Enquiry emails are received in a Google Gmail account, so Google stores that email as it would any email sent to that address. Email is not encrypted end to end, which is why the form asks you to keep detail to a minimum, and why you are welcome to phone instead.

Who can see it

Only me. Enquiries are not shared, sold, or used for marketing. Information is disclosed to anyone else only where the law requires or permits it, for example a serious and imminent risk to someone's safety, a court subpoena, or a mandatory reporting obligation.

How long I keep it

Website enquiries that do not become appointments are deleted within 12 months. Clinical records are kept for the period required by law: at least seven years from your last appointment, and for anyone seen as a child, until they turn 25.

Seeing or correcting your information

You can ask for a copy of the personal information I hold about you, and ask me to correct anything that is wrong or out of date. Email psyzenpsychology@gmail.com or call (03) 8348 1293. I will respond within 30 days. There are narrow situations where access can be refused, for instance where it would pose a serious threat to someone's life or health, and I will explain in writing if that applies.

Anonymity

You may make a general enquiry without giving your real name. To attend an appointment, or to claim a Medicare, TAC, WorkCover or NDIS rebate, identifying details are required.

If you are unhappy

Please raise it with me first, by phone or email. If you would rather not, or you are not satisfied with my response, you can complain to either of these, free of charge:
